Welcome to Built for Small Business ("BFSB", "we", "our", or "us").
These Terms & Conditions ("Terms") govern your access to and use of our website, platform, and services at builtforsmallbusiness.com (collectively, the "Platform"). By creating an account or using BFSB in any way, you confirm that you have read, understood, and agree to be bound by these Terms.
If you do not agree to these Terms, please do not create an account or use the Platform.
These Terms should be read alongside ourPrivacy Policyand Cookie Policy, both of which form part of the agreement between you and BFSB.
1. About BFSB
Built for Small Business is a software platform. We provide tools that help small and growing businesses manage invoicing, payments, payroll, client records, expense tracking, and financial reporting.
BFSB is a software tools provider only. We are not a bank, financial institution, accountant, legal adviser, payroll bureau, or regulated financial services provider. Nothing on the Platform constitutes financial, legal, tax, or accounting advice.
2. Eligibility
To create an account and use BFSB, you confirm that you:
- Are at least 18 years old
- Have the legal capacity to enter into binding agreements in your jurisdiction
- Are you using the Platform for legitimate business purposes
- Will comply with all applicable laws and regulations in your country of operation
If you are using BFSB on behalf of a business or organisation, you confirm that you have the authority to bind that business to these Terms.
3. Your Account
You are responsible for your account and everything done through it.
You agree to:
- Provide accurate, complete, and up-to-date registration information.
- Keep your login credentials confidential and do not share them with others.
- Notify us immediately at [email protected] if you become aware of any unauthorised access to your account or any security breach.
We are not liable for losses or damages resulting from your failure to keep your account credentials secure or from your failure to notify us of unauthorised access promptly.
We reserve the right to suspend or terminate accounts where we have reason to believe credentials have been compromised or where account activity appears fraudulent or in breach of these Terms.
4. The Free Tier and Paid Features
Core platform access is permanently free. The following features are available to all registered users at no cost, with no time limit:
- Invoicing and invoice management, including recurring invoices
- Client management
- Expense tracking
- Payroll for up to 15 staff members, including professional payslip generation. For Nigerian businesses, this includes statutory calculations under the Nigeria Tax Act 2025. For UK businesses, this includes payslip generation, with automated PAYE and National Insurance calculations in development
- Dashboard, reporting tools, and one export (invoices, expenses, or payslips)
We are committed to maintaining free access to these core features as a permanent part of our model, not as a trial or introductory offer.
An optional Business Plan is available at £120 per year, which includes:
- Removal of BFSB branding from all invoices and payroll documents
- Full tax year exports, covering expenses, invoices, and payroll
- Accountant-ready reports with HMRC-aligned breakdowns
- Payroll for over 15 staff members
- Advanced reporting suite, including profit and loss, tax estimates, and income breakdowns
- Assisted expenses data import (up to 2 years of records)
- Zapier automation
- Priority email support
Where paid features exist, pricing and billing terms will be clearly disclosed before any purchase is made. You will never be charged without your explicit prior consent.
5. Platform Fees and Transaction Charges
When you enable online invoice payments through Stripe via the Platform, the following fee structure applies:
- Platform fee: 0.5% of the invoice payment amount
- Minimum platform fee: £1.00 (or currency equivalent)
- Maximum platform fee: £20.00 (or currency equivalent) per transaction
- Nigerian businesses: minimum platform fee ₦200, maximum ₦10,000 per transaction
This platform fee is charged in addition to any fees levied by Stripe for payment processing (typically approximately 1.5% for UK cards). The full fee breakdown is shown on the invoice payment calculator available on our invoicing feature page.
All fees are subject to change with prior notice. We will notify you of any fee changes by email or through a prominent notice on the Platform at least 14 days before changes take effect. Continued use of the relevant features after the notice period constitutes acceptance of the updated fees.
6. Acceptable Use
BFSB is designed to support legitimate business activities. You agree to use the Platform lawfully, responsibly, and in good faith.
You must not use the Platform to:
- Conduct fraudulent, deceptive, or illegal activities of any kind.
- Generate, send, or store false invoices or fabricated financial records.
- Impersonate another person or business.
- Interfere with, disrupt, or attempt to gain unauthorised access to the Platform or its underlying infrastructure.
- Upload, transmit, or store content that violates any applicable law or the rights of any third party.
- Process transactions related to prohibited goods or services
- Engage in spam, unsolicited communications, or unauthorised advertising through the Platform.
- Attempt to reverse engineer, decompile, or extract source code from any part of the Platform
We may suspend or permanently terminate your access if you breach any of the above, without notice, where the breach is serious or causes harm to other users or to the Platform.
7. Your Data and Content
You retain full ownership of all data, documents, client records, financial information, and content you upload, create, or store on BFSB.
By using the Platform, you grant us a limited, non-exclusive licence to process, store, and display your data solely for the purpose of providing the services you have requested. We do not claim any ownership over your business records, financial data, client information, or payroll data.
We will not use your data for advertising, resale, or any purpose beyond operating and improving the Platform. Full details of how your data is collected, stored, protected, and processed are set out in our Privacy Policy.
Sharing your data with accountants and third parties. The Platform includes features that allow you to share your business data with others at your own initiative, including shareable expense and statement links and accountant access. When you create a share link or grant an accountant access to your account:
- You are responsible for deciding who receives access and for the consequences of that access.
- Share links may be accessible to anyone who holds the link until they expire or you revoke them; you should treat share links as confidential.
- Accountant access is limited to the permissions and access period you set, and you may revoke it at any time from your account.
- BFSB is not responsible for how recipients use, store, or further share data you have chosen to share with them
Upon account deletion, your data will be handled in accordance with our Privacy Policy and applicable data retention obligations.
8. Payroll, Tax Calculation, and Reporting Tools
The Platform includes payroll tools, tax estimation tools (including the Self Assessment tax estimator and Nigeria tax calculator), and financial reports (including profit and loss reporting and tax set-aside guidance).
For Nigerian businesses, the payroll module is built to reflect Nigerian PAYE rules under the Nigeria Tax Act 2025 (NTA 2025), including PAYE, pension, NHF, NHIS, and applicable tax reliefs.
For UK businesses, the Platform currently provides payslip generation, UK tax year filtering, and tax estimation tools. Automated PAYE, National Insurance, and RTI submissions are in development; until those features are released, you remain responsible for calculating and submitting statutory deductions through your own processes.
For all payroll, tax, and reporting outputs, you acknowledge and agree that:
- Calculations and estimates provided by BFSB are generated automatically based on the data and options you enter.
- These calculations are provided as tools to assist you; they do not constitute professional payroll, tax, or accounting advice.
- You are responsible for verifying the accuracy of all outputs before issuing payslips, filing returns, or making remittances to statutory authorities.
- BFSB is not liable for penalties, interest, or enforcement action arising from errors in data you have entered or from your reliance on Platform-generated figures without independent verification
- Tax rules change; while we aim to keep the Platform current, you are responsible for ensuring compliance with the most current version of applicable law.
We strongly recommend that you consult a qualified accountant or payroll professional for complex payroll or tax situations.
9. Invoicing Tools
Our invoicing tools are provided to help businesses create, send, and track invoices.
You are responsible for:
- Ensuring the accuracy of all invoice details before sending them to clients
- Ensuring that your invoices comply with applicable tax and commercial laws in your jurisdiction
- Any disputes between you and your clients arising from invoices created on the Platform
BFSB does not act as a party to any transaction between you and your clients. We do not guarantee payment of any invoice, verify the identity of your clients, or take responsibility for disputed invoices. Invoice verification links confirm that an invoice was generated on the Platform and has not been altered; they do not verify the underlying commercial transaction or the identity of the sender's business beyond their Platform account details.
10. Stripe Payments Integration
Where you use the Stripe payment integration to accept payments via the Platform:
- Stripe processes payments as an independent payment processor under its own terms of service and privacy policy.
- You must comply with Stripe's terms of service, which you agree to separately when enabling Stripe on your account.
- BFSB is not responsible for payment failures, refund disputes, Stripe account suspensions, or any other issues arising from your use of Stripe's services
- Stripe's fees are separate from and in addition to BFSB's platform fee, as described in Section 5
11. Intellectual Property
All software, code, branding, designs, logos, platform features, written content, and underlying technology on the Platform belong to Built for Small Business or its licensors and are protected by applicable intellectual property laws.
You may not:
- Copy, reproduce, or redistribute any part of the Platform without our written permission.
- Resell, sublicense, or commercially exploit any part of the Platform.
- Remove or alter any copyright, trademark, or proprietary notices.
- Use our name, logo, or branding without prior written consent.
Nothing in these Terms transfers any intellectual property rights to you. Your licence to use the Platform is limited, non-exclusive, non-transferable, and revocable.
12. Third-Party Services and Links
The Platform may integrate with or link to third-party services, including Stripe, Zapier, banking partners, and external websites.
Where you connect a third-party service such as Zapier to your BFSB account, you authorise the exchange of data between BFSB and that service as required for the integration to function, and your use of that service is governed by its own terms and privacy policy.
We are not responsible for the content, availability, accuracy, or practices of any third-party service. Links to external sites do not constitute an endorsement.
13. Availability and Service Interruptions
We aim to provide a reliable and consistently available Platform, but we do not guarantee uninterrupted or error-free access.
The Platform is provided on an "as is" and "as available" basis. We may carry out maintenance, updates, or improvements that temporarily affect availability. Where planned maintenance is significant, we will endeavour to give advance notice.
We are not liable for losses arising from service interruptions, downtime, or platform errors beyond our reasonable control.
14. Disclaimers
To the fullest extent permitted by applicable law:
- BFSB provides software tools only and makes no warranties regarding the fitness of those tools for any particular business purpose
- We do not guarantee the accuracy, completeness, or legality of any data, calculations, or outputs generated by the Platform based on information you have entered.
- We are not responsible for business decisions you make based on Platform-generated data.
- We do not verify the accuracy of user-submitted data, invoices, client details, or financial records.
15. Limitation of Liability
To the fullest extent permitted by applicable law, Built for Small Business shall not be liable for:
- Indirect, incidental, special, consequential, or punitive damages
- Loss of profits, revenue, business, data, or goodwill
- Losses arising from your reliance on Platform-generated payroll calculations, tax estimates, or financial data
- Losses caused by third-party service failures, including Stripe, Zapier, hosting providers, or banking partners
- Data loss caused by user actions, accidental deletion, or events outside our reasonable control
Our total aggregate liability to you for any claim arising out of or in connection with these Terms or your use of the Platform shall not exceed the total amount you have paid to BFSB in the twelve months immediately preceding the claim.
Nothing in these Terms limits liability for fraud, death or personal injury caused by negligence, or any other liability that cannot be excluded under applicable law.
16. Termination
By you: You may close your account at any time by contacting us at [email protected] or through the account settings within the Platform. Upon closure, your access will end, and your data will be handled in accordance with our Privacy Policy.
By us: We may suspend or permanently terminate your account if:
- You breach any provision of these Terms.
- You engage in illegal, fraudulent, or harmful activity on or through the Platform.
- Your actions threaten the security or integrity of the Platform or the data of other users.
- We are required to do so by law or a regulatory authority.
Where practical and proportionate, we will give you notice before termination and an opportunity to remedy any breach. In cases of serious or immediate harm, we may suspend access without prior notice.
Upon closure or termination, your data will be handled in accordance with our Privacy Policy and Section 17 (Inactive Account Policy) of these Terms.
17. Inactive Account Policy
To maintain platform integrity and comply with our data protection obligations, BFSB operates an automated inactive account policy as described below.
17.1 Definition of Inactivity
An account is considered inactive where:
- A user has registered but has not completed their business profile setup, or
- A registered company account has recorded no activity, including no invoices created, no expenses logged, no clients added, and no payslips generated, for a continuous period of 30 days or more.
17.2 Notification Process
Before any account action is taken, we will send the following notifications to the email address registered on your account:
- Day 7: a reminder to complete your profile or begin using the Platform
- Day 21: a final reminder that your account remains inactive
- Day 30: notification that your account has been scheduled for deletion, including the scheduled deletion date
- Day 55: a final warning that your account will be permanently deleted in 5 days
All notifications will be sent to your registered email address. You are responsible for ensuring your email address is accurate and that BFSB communications are not filtered to spam.
17.3 Account Reactivation
At any point before permanent deletion, you may reactivate your account by logging in and taking any action on the Platform, such as creating an invoice, logging an expense, adding a client, or generating a payslip. Reactivation will immediately cancel any scheduled deletion and restore your account to active status.
17.4 Account Deletion and Data Retention
If no reactivation occurs within 60 days of the initial inactivity notification:
- Your account and all associated data will be permanently deleted.
- This includes your company profile, client records, and any documents created on the Platform.
- Deletion is irreversible, and BFSB cannot recover deleted account data.
Exception, financial transaction records: Where your account has recorded financial transactions, including paid invoices or expense records, those records will be retained in accordance with applicable tax and accounting legislation (7 years under HMRC guidelines for UK users) even following account deletion. Retained records will not be accessible through the Platform but may be provided to you upon written request to [email protected] within the retention period.
17.5 Paid Accounts
This inactive account policy does not apply to accounts holding an active Business Plan subscription. Paid accounts will not be subject to automated deletion while a valid subscription is in place. Upon subscription cancellation or expiry, the standard inactivity policy will apply from the date of cancellation if no further activity is recorded.
17.6 Account Deletion by Request
You may request deletion of your account at any time by contacting [email protected] or through your account settings. Upon verified request, your account will be deleted within 30 days, subject to the data retention exceptions described in Section 17.4 above.
18. Governing Law and Jurisdiction
These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these Terms or your use of the Platform shall be subject to the exclusive jurisdiction of the courts of England and Wales, except where mandatory consumer protection laws in your jurisdiction provide you with additional rights that cannot be excluded by contract.
19. Data Protection and Compliance
We process personal data in accordance with:
- The UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, which apply to users based in the United Kingdom
- The Nigeria Data Protection Act 2023 (NDPA) and the Nigeria Data Protection Regulation (NDPR), which apply to users based in Nigeria
- The EU General Data Protection Regulation (EU GDPR), which applies to users based in the European Economic Area
Built for Small Business is registered with the UK Information Commissioner's Office (ICO) under registration number ZC183462.

20. Changes to These Terms
We may update these Terms from time to time to reflect changes to the Platform, our features, applicable law, or our business practices.
When we make material changes, we will notify you by email and through a prominent notice on the Platform at least 14 days before the changes take effect. Material changes include changes to fees, limitations of liability, governing law, or your core rights as a user.
For non-material changes such as corrections, clarifications, or minor formatting updates, we will update the effective date at the top of this page without advance notice.
Your continued use of the Platform after the notice period has elapsed constitutes your acceptance of the updated Terms. If you do not agree to the updated Terms, you must stop using the Platform and may close your account before the changes take effect.
21. General
Entire agreement: These Terms, together with the Privacy Policy and Cookie Policy, constitute the entire agreement between you and BFSB regarding your use of the Platform and supersede all prior agreements or understandings.
Severability: If any provision of these Terms is found to be unenforceable or invalid by a court of competent jurisdiction, that provision will be limited or removed to the minimum extent necessary, and the remaining provisions will continue in full force and effect.
Waiver: Our failure to enforce any provision of these Terms on one occasion does not constitute a waiver of our right to enforce it on any future occasion.
Assignment: You may not assign or transfer your rights or obligations under these Terms without our prior written consent. We may assign our rights and obligations to a successor business without your consent, provided your rights under these Terms are not materially affected.
Language: These Terms are written in English. In the event of any conflict between an English version and a translated version, the English version shall prevail.
