Understand exactly what's free and how we make money

Is BFSB really free forever? What's the catch?+
Yes, genuinely. There is no trial period, no hidden tier, and no credit card required to get started. Invoicing, expenses, client management, and payroll are free forever, no time limit, no feature lock, no catch. We built BFSB because business software has been overpriced for small businesses for too long. Our model is simple. We earn in three ways: When your clients pay invoices online via Stripe, we charge a 0.5% platform fee (min £1, max £20). If you never use online payments, BFSB costs you nothing. Our Business plan at £120/year unlocks tax year exports, accountant-ready reports, payroll beyond 15 staff, and advanced reporting. That is it. No surprises.
How does BFSB make money if the product is free?+
Two ways, both completely transparent. First, when you choose to enable online payments on your invoices, we take a small 0.5% platform fee (minimum £1, capped at £0) only when a client actually pays you. Second, we earn through affiliate partnerships with tools and services we genuinely recommend. We never sell your data, never show ads, and never charge a subscription. We grow when you grow.
What does the 0.5% payment fee mean in practice?+
If your client pays a £500 invoice online, BFSB's fee is £2.50. On a £2,000 invoice it's £10. The fee is capped at £20 no matter how large the invoice so on a £10,000 invoice you pay the same £20. Stripe also charges a processing fee of approximately 1.5% + 20p for UK/US cards. You can see the exact breakdown before enabling payments, and there is a live fee calculator on our pricing page.
Is there a limit on how many invoices I can create?+
No. Unlimited invoices, unlimited clients, unlimited expenses all free. There are no usage caps on the core product.
Will you ever charge a subscription fee in the future?+
The free tier is a permanent commitment, unlimited invoices, expenses, up to 15 staff, and unlimited clients, forever. For businesses that need tax year exports, advanced reports, and payroll beyond 15 staff, we offer a £120/year Business plan. Our model is built around optional value, not locking free users out of the basics.

Getting Started

Everything you need to get up and running quickly

How long does it take to set up my account?+
Most users create their account and send their first invoice within 15 minutes. There is no lengthy onboarding, no setup wizard to complete, and no training required. Create an account, add a client, add your line items and send. That's it.
Do I need any accounting knowledge to use BFSB?+
None at all. BFSB is designed for business owners who want to stay organised — not accountants. Everything is plain English, the numbers are calculated automatically, and the system guides you through each step. If you can fill in a form, you can use BFSB.
Can I import my existing invoices or client data?+
You can manually add your existing clients and start fresh from the point you join. Bulk import via CSV is on our roadmap. In the meantime, because BFSB is free, many users run it alongside their existing system for a month before fully switching over.
What information do I need to create my first invoice?+
Just three things: your client's name and contact details, a description of what you're charging for, and the amount. Everything else — invoice number, date, VAT (if enabled), totals — is handled automatically.

Payments

Stripe, Paystack and how getting paid actually works

How do I enable Stripe payments on my invoices?+
Go to your company settings and connect your Stripe account. Once connected, a Pay Now button will appear on invoices you send to clients. Your client clicks it, pays by card, and the money goes directly to your Stripe account minus fees. You can enable or disable online payments at any time.
When does Paystack become available?+
Paystack integration is actively in development and is our next major release. It will work the same way as Stripe — connect your Paystack account, enable payments on invoices, and your Nigerian clients can pay directly. We will announce it on our blog and notify existing users by email when it goes live.
How quickly do I receive money after a client pays?+
Payments go directly into your Stripe account. Stripe typically pays out within 2 to 7 business days depending on your country and account settings. BFSB does not hold your money at any point — we simply take our platform fee at the time of the transaction.
What currencies does BFSB support?+
BFSB supports multiple currencies including GBP, USD, EUR and NGN. You can set your default currency per invoice. If you work with international clients, you can invoice them in their preferred currency.

Payroll Global

Payslip generation and payroll tools for businesses outside Nigeria

Can I use BFSB payroll if my business is outside Nigeria?+
Yes. BFSB payroll is available to businesses in any country. You can add employees, configure salaries, allowances and deductions, and generate professional PDF payslips.

Statutory deduction calculations such as income tax, national insurance or pension are not automated outside Nigeria for now. Those would need to be calculated separately and entered as manual deductions. Full compliance support for the UK, Australia and other regions is on the roadmap.
What is included in a payslip for non-Nigerian businesses?+
Payslips generated outside Nigeria include your business branding, employee details, gross salary, any manually entered allowances or deductions, and net pay. They are formatted as clean, professional PDFs suitable for sharing directly with employees or their accountants.

Issued payslips are locked and cannot be altered, which protects both you and your employee.
Can I add manual deductions like tax or pension myself?+
Yes. BFSB allows you to add custom deductions and allowances per employee. If you know the correct statutory amounts for your region, you can enter them manually and they will appear correctly on the payslip. This gives you full flexibility while automated compliance support for your country is being developed.
Can I run payroll for both salaried and contract staff?+
Yes. You can configure each employee's salary structure, pay period, allowances and deductions independently. One-off and recurring adjustments can be added at any time, regardless of where your business is based.
When will automated tax compliance be available for my country?+
We are actively working on compliance support for the UK, Australia and other regions. When your country is added, payroll will automatically upgrade to include the relevant statutory calculations no manual setup needed on your end. We will announce new country support as it becomes available.

Payroll — Nigeria

PAYE, pension, NHF and everything Nigeria-specific

Is BFSB payroll compliant with FIRS and NTA 2025?+
Yes. BFSB uses the NTA 2025 PAYE tax bands and all current statutory rates for pension, NHF and NHIS. Payslips include employer declarations and are designed to be audit-ready if FIRS ever requires documentation. We update the system whenever tax rules change so you don't have to.
What happens when I have more than 15 staff?+
There is no hard limit on how many employees you can add to BFSB. Under Nigeria’s Pension Reform Act, pension contributions typically become mandatory once a business employs 15 or more staff. However, BFSB does not automatically enforce this rule. Instead, payroll deductions such as Pension, NHF, NHIS and Rent Relief are controlled through your company payroll settings. You can enable or disable these statutory deductions depending on how your business operates. For example: Pension, NHF and NHIS can be toggled on or off at the company payroll settings level. Rent Relief can be enabled per employee, but only if the company-level rent relief setting is turned on. This gives businesses flexibility while still allowing payroll to remain compliant with Nigerian statutory rules when required.
Can I run payroll for both salaried and contract staff?+
Yes. BFSB supports different employment types and pay frequencies. You can configure each employee's salary structure, pay period, allowances, bonuses and deductions independently. One-off and recurring adjustments can be added at any time.
Will pension contributions apply automatically?+
Pension is managed through your company payroll settings and does not turn on automatically based on staff count. BFSB currently uses a fixed 8% pension rate. A more flexible pension setup, including employee-level configuration, is planned for a future update but is not yet available.
Can I share payslips directly with employees?+
Yes. Once a payslip is issued it generates a clean, professional PDF containing all statutory information. You can download and share it directly with the employee or their accountant. Issued payslips are locked and cannot be altered, which protects both you and your employee.

Security & Data

How your data is protected and what happens if you leave

Where is my data stored and who can access it?+
Your data is stored on secure servers with 256-bit AES encryption. Only you and anyone you explicitly grant access to can see your business data. BFSB staff do not access your account data unless you contact support and specifically request assistance.
What happens to my data if I cancel or leave?+
Your data is yours. Before leaving you can export all your invoices, client records, expenses and payslips at any time. We do not hold your data hostage and we do not charge an export fee. If you decide BFSB is not right for you, you leave with everything intact.
Can I export all my records at any time?+
Yes. Exports are available at any time from within your account. Invoices export as PDFs, payslips export as PDFs, and financial summaries export in formats suitable for sharing with your accountant. No waiting, no approval needed, no fees.

For Accountants

Sharing records, exports and working with your accountant

Can my accountant log in and view my records?+
Yes, with controlled access. You can share your records with your accountant without giving them full access to your account. This means they can review what they need for tax preparation or audits without being able to modify anything.
Are exports compatible with QuickBooks or Sage?+
BFSB exports are designed to be clean and shareable with any accountant regardless of what software they use. Direct integration with QuickBooks and Sage is on our roadmap. In the meantime, your accountant can work from the exported PDFs and summaries without any issues.
Are invoices and payslips audit-ready?+
Yes. All issued invoices include your business details, client details, line items, VAT breakdown, payment status and timestamps. All issued payslips include gross pay, statutory deductions, PAYE, pension, NHF, employer declarations and issue dates. Both are locked once issued so the record cannot be altered retroactively exactly what an auditor or accountant needs.

Is Built for Small Business an accounting replacement?+
No, and we're honest about that. BFSB helps you run your business operations cleanly and stay organised. We prepare clean, shareable records that make your accountant's job easier and cheaper. Think of us as the organised business owner's layer that sits before the accountant, not as a replacement for one.
What happens if my business grows or changes?+
BFSB is built to grow with you. Same system, no migration, no plan upgrade required. Whether you're a solo founder or managing a team of 20, the platform handles it. We add features continuously based on user feedback — you grow, we grow.
What happens if I decide to leave?+
Not a problem. Export everything, leave anytime. We don't lock you in, charge exit fees, or make it difficult. Your invoices, client records, expenses and payslips are all yours to take with you.
Does BFSB work for UK businesses?+
Yes. BFSB was built for both UK and Nigerian small businesses. UK users get full invoicing with VAT support, GBP currency, Stripe payments, expense tracking and client management. The Nigeria-specific payroll features (PAYE, pension, NHF) are available when you select Nigeria as your company country.
